# Manual Entry in Excel → Order Centralization with Salesforce Integration

**What were the challenges before implementing the system?**

As we entered the market where there were already major companies, we aimed to provide services that they couldn't. We provide services such as delivering devices to the site, staying at the site to provide instructions, and replacing devices when they run out of battery. We also respond to detailed needs, such as delivering two additional devices to the site on the same day when additional personnel are required. However, **as the number of customers increased, it became difficult to be flexible in responding to detailed requests**.

Additionally, there were cases where we misunderstood the options for additional ordered devices that were supposed to be inquired via email, which led to mistakes. This would lower the value of customers using our services. We were manually entering these order data into Excel.

Therefore, while reviewing our services, we decided to develop a rental order system that would streamline the order information and integrate it with Salesforce so that it would be organized when it enters our company.

We didn't have engineers in-house, and we didn't have members with expertise. So, we outsourced the actual development and had our in-house systems engineers manage the project. Actually, it was very convenient for us because we used Notion to share questions and tasks systematically. **You have completed the first phase of development. How is the internal response to this system?**

Honestly, there is a greater sense of anxiety among the staff. They might have concerns such as, "Can we properly handle the order flow that we have been doing so far with this system?" or "Do we still need to ask something (to the customers)?" Although they don't express these worries in words, I can sense that they exist.

However, I believe that when making significant changes and changing the system, it takes some time and effort for people to become familiar with it. Personally, I want them to say that it was a good decision to implement the system.

**What are your future prospects?**

As a system, we want to continue incorporating customer feedback and internal feedback to bring the system closer to its complete form. Currently, our initial goal is not just to increase the order rate but to make existing customers' ordering process smoother.

In addition to wireless devices, there is a demand to rent a significant number of high-spec PCs, and we believe it could be successful if we try. Therefore, we are also positively considering expanding our product lineup to include Wi-Fi, tablets, and other items.

As a system, one of our goals is to integrate the current website with this order management system.

**Can you give a message to companies facing similar challenges?**

I think there are definitely companies that want to develop a system integrated with Salesforce or connect it with their sales tools. It would be great if they already have a certain level of conceptualization, such as "We want to manage it with this system" and design the website and system accordingly, or if they have a clear vision of "What we want to achieve."
